In this blog post, we will discuss the step-by-step process of creating and posting statements manually in Dynamics 365 Commerce.

The statement posting process is a crucial accounting function used to record transactions that take place at the Point of Sale (POS). 

This process involves pulling a set of POS transactions into the headquarters (HQ) by using the distribution schedule.

These are the manual steps for creating and posting statements in D365 Retail.

Step 1: Access the Distribution Schedule

To begin, navigate to the Distribution schedule page by going to Retail & Commerce > Retail & Commerce IT > Distribution schedule.

Step 2: Select the Desired Record

To proceed, locate and choose the distribution schedule record that you intend to utilize.

Step 3: Run the Distribution Schedule

To initiate the distribution schedule, click on the 'Run now' button.

Step 4: Confirm the Distribution Schedule Run

To confirm the distribution schedule run, click on the 'OK' button.

Step 5: Access Upload Sessions

To reach the Upload Sessions page in Dynamics 365 Commerce, navigate to Retail and Commerce > Inquiries and reports > Commerce Data Exchange > Upload sessions.

Step 6: Refresh the Page

To make sure that the upload sessions are current, it is necessary to refresh the page.

Step 7: Access the POS Posting Page

To access the POS posting page for validating store transactions, go to Retail and Commerce > Retail and Commerce IT > POS posting.

Step 8: Select the Store

Select 'Contoso Retail\Contoso Retail USA\Central\Houston' from the directory tree.

Step 9: Add the Store

Click 'Add' and then 'OK'.

Step 10: Access the Default Dashboard

Navigate to the default dashboard.

Step 11: Access the Statements Page

To access the Statements page, go to Retail and Commerce > Channels > Stores > Statements.

Step 12: Create a New Statement

Click 'New' to create a new statement.

Step 13: Select the Store Number

To enter or choose the store number, use the 'Store number' field.

Step 14: Select the Staff/Register Value

To enter or select the staff/register value in the 'Staff/register' field, use the format of Register number: Shift ID.

Step 15: Enter the Transactional Interval Value

Enter the Transactional interval value.

Step 16: Calculate the Statement

Click 'Calculate statement'.

Step 17: Confirm the Statement Calculation

Click 'Yes' to confirm the statement calculation.

Step 18: Enter the Counted Value

To fill in the 'Counted' field, input the number that has been counted.

Step 19: Post the Statement

The process of posting a statement results in the creation of sales orders and invoices for the sales included in the statement. 

The process involves combining cash and carry sales into a single sales order and invoicing them to the default customer associated with the store, while sales transactions that include a customer in the POS generate separate sales orders and invoices for each unique customer. 

Once the statement is ready, click on 'Post statement' to finalize the posting process.

Step 20: Check the Posted Statements

You can verify the posted statement by accessing Retail and Commerce > Inquiries and reports > Posted statements. 

By following the outlined steps, businesses can create and post statements manually in Dynamics 365 Commerce, which is a crucial process for maintaining accurate financial records and aiding in financial reporting.
